Keep reference material in Library

Library keeps original reference material and the views extracted from it. A project brief, spreadsheet, or report belongs here; your team's explanation of it belongs in Context.

Upload and check a source

  1. Select the workspace and open Library.
  2. Choose Upload, select files, or drop files onto the upload area.
  3. Follow the upload queue. This build limits a batch to 20 files, with additional policy and size limits.
  4. Open the uploaded item and check Status, Versions, and Artifacts in Details.
  5. Read the original and converted view when available. Verify that important paragraphs or table values survived extraction.

Uploading, generating a preview, and preparing searchable text are separate operations. A successful upload is not a promise that Ask can understand the whole file.

Understand the status

StatusMeaning and next step
Pending / Converting / Preparing searchProcessing is still running. Refresh later; ask an administrator if it stays stuck. On a local installation, processing runs only while dtxWiki is running.
ReadyProcessing finished. Check the content before relying on it.
Ready with limitsSome content may be omitted or truncated. Compare with the original.
Original storedThe original is retained, but usable conversion is unavailable. Add a text summary if you need searchable evidence.
Failed / Timed outProcessing failed. Inspect the message; use Retry conversion if offered.

Which files can I use?

The server's capability list and workspace policy determine what you can upload. v0.2.1 has these boundaries:

Format groupWhat to expect
Markdown, UTF-8 text, HTML, JavaScriptText conversion where enabled; HTML and JavaScript are treated as source material, not executed as an app.
CSV, TSV, JSON, YAMLStructured text or table views with processing limits.
PDF, DOCX, PPTX, XLSXExtraction depends on installed converters. Original layout and generated previews are separate capabilities.
JPEG, PNGValidated image storage and preview; the built-in image converter produces metadata and a safe derivative, not OCR text.
MP3, OGG, WAV, MP4, WEBMOriginal storage where policy permits; playback depends on the browser and runtime. No built-in speech transcription guarantee.
HDF5, ParquetBounded data/metadata processing with suitable dependencies; not every dataset is expanded in full.
DOC, PPT, XLS; GIF, WEBP, TIFF; HDF4; HWP, HWPX, HWPMLListed descriptors exist, but upload admission is closed in v0.2.1. Export to an enabled format.

Converter support alone does not override closed upload admission. File extensions, detected bytes, encrypted files, storage quotas, and safety limits are also checked. A workspace owner can adjust policy, but cannot make a missing server converter appear by changing a checkbox.

For a scanned PDF, built-in PDF extraction reads embedded text and does not perform OCR. Add a reviewed text transcription or ask the administrator about an appropriate converter. For .hwp material, export to an enabled format such as PDF or DOCX and recheck the result.

Correct a source without confusing versions

Use Upload new version on an existing item when the reference has changed. This adds a source version to the same item's history.

The View tab displays the latest version. It does not switch to an older version when you open History, and a failed conversion of the latest version does not silently show an older converted body. History lists each version's number, processing status, upload time, and content identifier, newest first beside a graph of the versions it replaced. Use Download on its row (labelled Download this version for assistive technology) to inspect that version's original file outside dtxWiki, when the original is still retained. On a narrow screen the action can appear as a download icon. If the original is no longer retained, the row reports that instead. Library history does not provide text comparison, restoration, or an older text-body viewer or editor.

Before downloading an HTML, JavaScript, DOCX, PPTX, or XLSX original, dtxWiki warns that the file may contain active content. dtxWiki does not run it during preview, but another application may run it after download. Continue only if you trust the file; cancel to leave it in Library. This warning also applies to downloads from History.

Where your permissions and the latest version's conversion allow it, Edit Markdown changes that latest version's searchable Markdown text. Use it to correct extracted text, such as a missing heading or an incorrectly read paragraph. It does not edit the original PDF or Office file, and it cannot edit an older version's body. Upload a new version when the original file itself needs correcting.

The Library explorer shows when an item's content last changed. When an upload becomes the item's current version, or when you save changed text with Edit Markdown, its row shows Recent change for 72 hours. Uploading a file identical to the current version, saving unchanged text, and renaming or moving the item do not. Library rows never show the review clock. Items uploaded before an upgrade from v0.1.2 show Content change time unavailable in the row's tooltip until their content next changes. To mark an item you use often, choose Add to my favorites in its row menu. See Read the explorer markers.

Deleting a cited source leaves a deleted-source marker in referencing pages and informs reviewers. Prefer adding a corrected version when you need to keep an evidence trail.

Library sources are managed only here. They are not page attachments: they do not appear in Settings → Attachments, and the automatic cleanup of unused page uploads never deletes them.

If uploading fails

Check the exact enabled format, file-size limit, and batch count. Save text as UTF-8. Password-protected documents are unsupported. If policy changed during upload, use Reload policy and retry with the new limits. When the result is unknown, use the offered retry to reconcile rather than creating repeated unrelated uploads.

A new item takes its title from the file name. dtxWiki refuses a file name that is longer than 255 bytes (fewer characters in Korean and other non-Latin scripts), contains line breaks, other control characters or a colon (:), or ends with a dot. Rename the file and upload it again.
